Project Supervisor

The Roofing Office Administrator serves as the operational hub of Veterans Roofing NJ, managing the day-to-day administrative functions that keep the business running smoothly. This role is responsible for customer intake and scheduling, contract processing, permit coordination, billing and invoicing, production scheduling, and subcontractor compliance. The Roofing Office Administrator ensures seamless communication between homeowners, sales staff, and the production team while maintaining accurate records in AccuLynx CRM. This is a fast-paced, detail-oriented role that is critical to the success of every project from the first phone call through final payment.

-Manages incoming customer inquiries and conducts professional phone intake and lead qualification.-Schedules appointments and coordinates between clients, sales staff, and project managers.-Creates and maintains customer profiles, job records, and document storage in AccuLynx CRM.-Reviews, processes, and files signed contracts following company procedures.-Prepares and submits permit applications and tracks status with local building departments.-Generates progress billing and final invoices and manages accounts receivable.-Processes insurance claims documentation and assists with account reconciliation.-Coordinates material deliveries and crew scheduling with Project Managers.-Manages subcontractor documentation and compliance records.-Assists with payroll preparation and basic bookkeeping tasks.-Identifies workflow inefficiencies and implements administrative improvements.-Ensures seamless communication between homeowners, sales staff, and the production team.
